Bodhi Courses (“Bodhi Courses,” “we,” or “us”) takes very seriously the privacy and security of the information that individuals choose to share with us. It is the policy of Bodhi Courses to collect, use, and maintain information from participants in our courses (“participants,” or “you”) in a manner that respects your privacy interests and rights and provides security. This privacy policy applies to information collected through our website, other applications (including mobile applications) (“Apps”), and any other interactions we may have with you (collectively, the “Services”). It is intended to notify you of our policies and practices so that you have knowledge of our activities and a basis to consent to our use of information received from you.

Registering for a course 

We use Event Espresso to process registration. In order to complete your booking we may ask for the following information from you:

    • Name
    • Address (home address including city, state, country, and zip code)
    • Phone number
    • Email address
    • Whether you have taken a Bodhi Courses previously
    • Location and traffic data (including partial IP address and browser type)
    • Any other details that might be requested from you for the purpose of processing your registration 

Payments and Donations

Payments and online donations through the Bodhi Courses web site are done via PayPal. Bodhi Courses does not collect or store an individual’s credit card or account information when the donations are made.

Mailing List and Contact Form

To join Bodhi Courses’ mailing list or contact Bodhi Courses, a name and an email address are required; in some cases addresses are collected. We use Mailchimp as our marketing platform. By clicking subscribe, you acknowledge that your information will be transferred to Mailchimp for processing. 

Payment Logging

Site administrators may keep a log of communications with the payment processors in order to verify that payments are being processed correctly. These logs are automatically deleted after a week.

Email History Data

We keep a record of the emails sent to you. This is to ensure communication is successfully sent and its information is accurate.

Registration information

The information we store on our registration system is accessed by our core staff members as required as part of their duties.

In addition, our IT Consultants have access to our systems in order to maintain our systems.

Our staff and our IT Consultants are aware of the importance of confidentiality and your right to privacy, and receive appropriate training on this issue.

Donation information

Donation information is accessed by our Finance Officer, Registrar, and Bookkeeper as required as part of their duties, and our Communications Team for the purposes of issuing thank you communications.

  1. How is your information used to keep you up-to-date with Bodhi Courses’ courses?

 Our communications consist of emails announcing new courses and related events.

What if you want to change your communications preferences at a later date?

Every email message we send includes a link to opt out of receiving future emails.

You can also let us know of any changes to your communications preferences by emailing bcanswers.

You can contact us at any time to notify us of changes such as a new address or email address.

If you opt out of receiving our communications at any point, we will unsubscribe you from our mailing list. This will ensure that you do not receive any further communications from us, unless in relation to donations you make.

  1. Is your information shared with third parties?

We will not at any time sell or exchange your information. We ensure that any third party we employ has a robust privacy policy and that appropriate compliance contracts are in place. The third parties that we currently use are:

    1. EventEspresso – to process event registrations. Event Espresso’s privacy Policy. 
    2. MailChimp – to maintain our mailing list and distribute our emails. MailChimp’s Privacy Policy.
    3. PayPal – to process payments. PayPal’s Privacy Policy.
    4. Drop Box – to save a class roster. Drop Box’s Privacy Policy.
    5. YouTube to show class overview. Youtube’s Privacy Policy. 
    6. Google – as part of the web browser cookies. Google’s privacy policy.

We do not share your information for any other purposes.

  1. How is your credit/debit card information processed?

Online transactions

When your registration or donation payment is processed through the Bodhi Courses website we do not have access to your payment card details. These are processed by PayPal. 

Transactions made using mailed checks are recorded in our records for bookkeeping purposes. 

  1. How secure is your information kept? 

Bodhi Courses takes the care of your data seriously and undertakes to protect your personal information by putting in place appropriate physical, electronic, and managerial procedures to safeguard and secure the data we collect.

In today’s cyber environment it is unfortunately not possible to completely guarantee against loss, misuse or alteration of data, for example in the event of a successful cyber-attack. However, should this scenario arise, we will contact you as soon as possible providing full details of any data that has been compromised.

  1. How long will your information be kept? 

Registration information

The basic registration information described above is held on our database to assist with your current and any future registrations. In addition, we save a class roster in our files in Drop Box indefinitely. 

Donation information

Your donation information is held on our database for financial auditing purposes and to maintain a record of your support. 

  1. The right to be forgotten

You have the right to be ‘forgotten’, which means that if you submit a request to us, we will remove all the data that we hold on you from our systems. Complete removal of information from our systems will result in the loss of all historic data. 

If you have registered for a class or made a donation within the last 12 months we are required to retain your details for two years for administrative purposes. Records of financial transactions are held indefinitely for accountancy and audit purposes. 

  1. How can you see what information is held by Bodhi Courses?

Under the General Data Protection Regulation you can request a report detailing the information we hold about you. To obtain a report, please contact us by email using bcanswers.

We will offer a full response to all information access requests within 60 days from when we receive your ID information (details below).

The following information will be required before access is granted:

    • Your full name and complete contact details
    • Your relationship to Bodhi Courses
    • A copy of your passport or national ID card

We reserve the right to charge a reasonable admin fee for additional copies of the same information.

You also have the right to have your details updated or corrected in case of error.
